This guide walks through online check-in as your guest sees it, so you can answer their questions. Which steps appear is up to you: see Online check-in. The pages use your website's logo, colours and fonts.
The language
Check-in opens in the language of the guest's phone when TIOO speaks it, and the guest can change it with the language button at the top. Guest pages speak English, Spanish, Portuguese, French, German, Italian, Dutch, Chinese, Japanese and Arabic (Arabic reads right to left). Your own texts, such as rules you wrote yourself, are shown as you typed them.
1. The start page
The guest opens your check-in link and sees Online Check-In with a box for their Booking Reference. The hint tells them it is in their confirmation email from Airbnb, Booking.com or your direct booking. They type it and tap Begin Check-In.
- Check-in opens 3 days before arrival. Too early, or with a reference TIOO doesn't know, the guest sees: "We couldn't open check-in with that reference. Please double-check it, or contact the property if you need help."
- A guest who has already checked in can tap Open my guest portal under Already checked in? and use the same reference.
- If a booking has several rooms, one check-in covers them all.
A bar at the top shows how many steps there are and which one they are on. Back goes to the previous step without losing what they typed.
2. Your Details (always)
The guest checks their Full Name, Email and Phone, filled in from the booking when TIOO has them. The page tells them the link to their guest portal will be emailed to this address. They tap Continue.
3. Arrival Time (if you turned it on)
The guest picks roughly when they will arrive. They can't pick a time before your check-in time, or a time that has already passed if they arrive today.
4. Vehicle (if you turned it on)
Are you arriving by car? The guest taps Yes or No.
- Yes: they type the Registration Number (more than one car: separated by commas) and, if you ask for it, pick a Vehicle Type. If you have parking instructions, View Parking Instructions shows them.
- No: they carry on.
5. ID Verification (if you turned it on, Growth plan or higher)
The guest reads About your ID document: why the ID is needed, who can see it, how long it is kept and their rights. They take a photo with the phone camera or choose one, for each person you asked for (extra people with their name). Big photos are made smaller on the phone before they are sent, and iPhone photos (HEIC) work.
The main guest's ID is required. Extra people's IDs are optional unless you ticked that every ID must be uploaded.
6. Offers (only if you have them)
If your account has room upgrade or extra room offers switched on and there is one for the guest's dates, the guest sees it here and can choose it or skip it.
7. Confirm Check-In (always)
The guest sees a summary: property, room(s), dates and their details. Below are your House Rules and a tick box to accept them. They tap Complete Check-In.
TIOO keeps a copy of exactly the rules and wording the guest accepted on their reservation.
8. The last page: "open your guest portal"
The last page is deliberately not a "you're done" page, because the guest still needs their guest app to get in. It shows:
- Don't close this page yet and One last step: open your guest portal.
- A big button: Open my guest portal.
- What's waiting in your guest portal: when their door code or access details will appear (a countdown to your check-in time, or "ready now"), and what else is there (Wi-Fi if you set it, directions, contact).
- Your details are saved, under the button.
- Keep this link with Copy link, and a tip to bookmark the guest app or add it to the home screen.
On phones, the button stays at the bottom of the screen once the guest scrolls past it.
The door code itself is never shown on this page. It is only in the guest app, from check-in time. See The guest app, screen by screen.
What the guest gets afterwards
An email with the link to their guest app, in their language, from your business's @tioo.com address. If the guest's email is blank, they don't get it, so they should keep the link.
