Plenty of bed and breakfasts and guest houses still run on a paper diary and a phone. That works until you add Booking.com, take an online deposit or go on holiday. A booking system fixes this — but the wrong one adds admin instead of removing it. Check these eight things first.
1. Can guests book on your website?
A website that only takes enquiries means back-and-forth emails for every booking. Look for a booking form that shows real availability and confirms the booking immediately. That is what turns your website into a sales channel rather than a brochure.
2. Does it sync with Booking.com and Airbnb?
Most B&Bs take a share of bookings through online travel agencies. Your booking system should import their bookings into one calendar per room and block dates on the platforms when a room is booked elsewhere. Ask how the sync works and how often it updates.
3. Does it understand rooms, not just properties?
B&Bs have room types, bed configurations, occupancy limits and rooms that can be closed for maintenance. Tools designed for single holiday homes can struggle with this.
4. How are payments handled?
Check which payment providers it supports, whether money goes straight to your account, and whether there is a commission on top of card fees. Commission-free direct bookings are the main reason to have your own system.
5. Can you collect guest details before arrival?
Knowing arrival times and contact details before the day saves you waiting in. Online check-in also gives you a record of who is staying.
6. Can it send invoices?
Business guests and groups often need invoices. Check you can produce one with your business details without opening a separate accounting tool.
7. Will it show you how the business is doing?
Occupancy, average daily rate and revenue by source tell you which channels are worth paying commission to. Your accountant will appreciate the reports too.
8. What does it cost as you grow?
Watch for per-booking fees and setup charges. A free plan for a couple of rooms is a good way to test a system before moving your whole diary into it.
